I.             Call to Order and Quorum Call: Meeting called to order at 6:30 pm

Directors Present:

Ralph Brown – President, Unit 7

II.            Review/Adoption of Minutes: February 27, 2024

MM made by Kathy H., 2nd by Wrede to approve the RGHOA monthly meeting minutes with the date of meeting as 27 February vs. 26 February.  

Motion carried unanimously.

 

III.     Committee and Officer’s Reports

A.   Ponds - Trina Dooley – No update provided from vendor.  No access issues reported.  Four homeowners on pond 3 stated they would provide access to the pond to provide maintenance.

 

B.   Parks – Rick Huber – Mark Mueller pressure washed the walls of the handball courts and the exterior walls of the large park.  Support posts on the steps of the gazebo are rotted.  Mark Mueller stated the repairs were not in his scope of capabilities.  Suggested the gazebo be put on the repair to-do list.  Backboard on the east side of the basketball court is tilted.  Will potentially need to be repaired.

 

C.   Newsletter - Carolyn Austin – 2024 Contract is in the packet for approval.  Will be seeking articles by 15 August 2024 for newsletter.

 

D.   Website - Ralph Brown – Nothing noted.

 

E.   Landscape – Larry Barroner – The valves close to Dresden on Donnymoor are now operational.  Brightview will be bringing in dirt and sod to cover the area. I also mentioned the low spot across from the small park that was repaired a few months ago.  To have the leaves racked along Donnymoor, Brightview provided a quote of $4073.00.  Flowers are scheduled to be replaced the first week of April.  A Spring mix was recommended/chosen based on availability. 

The entrance to Riverwatch was brought up that the attention to detail is lacking as weeds are growing in the flower beds.  Will contact Bright View POC to schedule a walkthrough of the property.

 

F.    Finance/Budget – Kathy Hofstad – Normal financials with the exception of the expenses for the removal of the pine trees.  Suggested GPI to seek other vendors quotes for leaf cleanup along Donnymoor.  GPI will ask a couple of other vendors they are familiar with to provide a quote.

 

G.   Riverglen ACC – Ali Houshmand – New GPI system will not forward letters till 8 April.

 

ACC requests: the committee received (4 ) requests.

MM by Wrede, 2nd by Kathy H., to ratify the ACC approval for items 1-4.

Motion carried unanimously.

 

First Letters: (17) MM by Wrede, 2nd by Kelly to accept the recommendation of the ACC for first letters.  Motion carried unanimously.

 

Second Letters: (5) MM by Wrede, 2nd. by Kelly to accept the recommendation of the ACC for second letters.  Motion carried unanimously.

 

Attorney Letters (2) MM by Wrede, 2nd. by Kelly to accept the recommendation of the ACC for attorney letters.  Motion carried unanimously.

MISC: 11801 Tall Elm Ct. – Batting cage poles and lights exceed 10-foot height limitations: MM by Kathy H., 2nd by Wrede to notify homeowner that they must lower the poles and lights to the maximum height of 10-feet as stated on the homeowners 2023 ACC request.  Homeowner granted 6 months to complete this task.  Motion Carried 4/3 (Chris, Kelly, Larry opposed)

 

H.   Legal: Ralph Brown, Wrede Kirkpatrick, Co-Chairs (Collections/Compliance)

 

Collections:  No action at this time.

 

Compliance:

#2.  MM by Wrede, 2nd by Cathy for a last chance letter be forwarded to the homeowner with a deadline of 15 April to comply with the painting of the home.  Motion carried unanimously.

 

IV.       Management Report – Angela Parker- GPI

Written reports were submitted and e-mailed to the BOD. 

 

V.        Old Business

A.   Online ACC Request (web portal) Update – Delayed 1 month for new software

B.   Revised ACC Standards – Must notify homeowners of recommended changes, will discuss during April meeting.

C.   Paint Palette - Must notify homeowners of recommended changes, will discuss during April meeting.

D.   ACC revised form - Will discuss during April meeting.

          

VI. New Business

A.   Small balance discussion – Less than $100.00 on balance due, GPI not to send to legal without board approval. This information is in the collection policy.

B.   IKare contract – MM by Wrede, 2nd by Kathy H., to accept the 2024 newsletter publishing contract ($945.00).  Motion carried 6/1 (Cathy opposed)

C.   Leaf Cleanup – MM by Ralph, 2nd by Kelly to approve up to $4073.00 for leaf removal based on quote received from Bright View.  GPI is seeking alternative vendors for estimates.  Motion carried unanimously.

 

       VII.    Homeowner Concerns – None other than previously discussed.
